A useful RFQ makes the assumptions visible.

Two suppliers can quote the same product name and still offer different scopes. The difference may be a driver, connector, finish, control interface or packaging requirement. Put the decisions that affect the price into the RFQ, and leave unresolved points clearly marked for confirmation.

Build a schedule that can survive a revision.

Give each line a location or drawing reference. Record the exact model where known, the required quantity and the unit: a metre, reel, fitting or complete assembly. A quantity without a unit is a common source of misunderstanding. Use a clear drawing revision and keep superseded files out of the approval set.

Separate requirements from preferences.

Identify what is fixed by the design and where an alternative can be considered. For example, a visible profile width may be fixed while an equivalent internal driver is acceptable after review. This lets the supplier propose a useful alternative without quietly changing the design intent.

Approve a scope, not only a total.

Before acceptance, compare the quotation with the latest schedule. Confirm the included items, exclusions, taxes, freight, payment arrangement and delivery plan. Retain the accepted version with the order so purchasing and installation teams work from the same information.
